Terms & Conditions
1 Acknowledge of Acceptance Upon receipt of a booth application form, the organizer will confirm the contents of the application and when accepted, a letter of acceptance will be sent. Exhibitors may not display products other than those listed in the Guide to participation. Displays must serve the aims of the exhibition. The organizer has the right to refuse permission for exhibits deemed unsuitable. In addition, if an exhibitor falsely declares in the application form the types of products to be displayed, the organizer may exclude an exhibitor from the show, even if booth fees are already paid. No refunds will be given.
2 Prohibition of Subletting Exhibitors may not sublet, sell, buy, exchange, or transfer booth spaces without permission of the organizer.
3 Joint Exhibition When two or more companies exhibit together, the representative company should fill out the application form with its company name under Primary Exhibitor. The other company’s name should be written in Co-exhibitor(s). The Primary Exhibitor is responsible for all the exhibition procedures.
4 Payments of Booth Fee Exhibitors shall make payment of booth fees by the due date based on the exhibition regulations. If an exhibitor fails to do so by a designated date, the organizer may cancel the exhibitor’s contract and any prepaid fees will not be refunded. The organizer will confirm the content of each application form and if accepted, a notification of acceptance and an invoice will be sent. Deposits are to be made payable to the bank below in the following manner.

6 Exhibition Standards If the organizer deems that an exhibitor’s display methods or advertising activities may hinder disaster prevention, detract from the exhibition’s positive image or interfere with the smooth operation, the organizer is entitled to request the exhibits in question be changed or removed from the booth.
7 Items for Exhibition Exhibited items should be products or information relevant to the list of exhibition categories for JIAM 2008. The organizer cannot permit the display of unrelated items.
8 Use of Exhibition Venue The display of exhibits shall be confined to the booth area, and no demonstrations, advertising or sales activities are permitted in the aisles or in any other exhibition areas. Exhibitors must always have staff at their booths to serve visitors. Exhibitors must not remove display items or stop exhibiting during the show without permission from the organizer.
9 Protection of Exhibits While the organizer will make every effort to ensure security and successful operation of the show, the organizer will not be liable for such events as natural disasters, fire, injuries, lost items, theft, any accident or injury inflicted on exhibitor’s personnel or visitors. During preparation and exhibition hours, exhibitors shall always staff their booths and be responsible for protecting and managing their exhibits.
10 Observing Fire Prevention Regulations and Responsibility for Liability Insurance Exhibitors must obey all fire prevention and safety regulations. Exhibitors are liable for all injuries or damages caused by their employees to other exhibitors or visitors and venue facilities, and shall have necessary insurance coverage for such liabilities and risks.
11 Restoring to Original Conditions After the close of the exhibition, exhibitors must restore their booth area to its original condition. If exhibitors fail to do so, the organizer will charge for costs incurred.
12 Cancellation and Rescheduling The organizer reserves the right to reschedule, cuts short, or cancels the exhibition, or to transfer the venue owing to natural disasters, strikes, terror incidents, government disease control and prevention measures, and other circumstances beyond the organizer’s control that prevent the normal holding and management of the exhibition. In such circumstances, the organizer shall not be held responsible for refunding exhibition fees nor for any costs incurred by exhibitors.
13 Liability and risks The Exhibitor shall be liable for and shall insure, indemnify fully and effectively and hold the Organizer, the Manager and their respective shareholders, the lessors of the premises where the Exhibition is held and all government, statutory and regulatory bodies and agencies of the country where the Exhibition is held and their respective directors, officers, agent and servants harmless against any and all costs, claims, demand, losses, liabilities, charges, actions and expenses which any of them may be subject to or may incur or which may be made, claimed or instituted against them or any of them as a result of any act, breach of any of the terms of this Agreement, omission, conduct or failure of the Exhibitor or its directors, officers, agents, servants, invitees or independent contractors. The exhibitor’s aforesaid indemnity shall extend to all losses or injuries caused to any persons or property howsoever caused by the Exhibitor or its Exhibits or personnel, or otherwise arising while the said persons are upon or examining, observing or passing the Exhibit or Stand/s occupied by the Exhibitor, or by demonstration of or otherwise in connection with the Exhibit. The liability or risks of loss or damage to the Exhibitor’s employees or agents, or the Exhibits, shall be the responsibility of the Exhibitor. Exhibits shall be placed at the Exhibitor’s own risk and the Organizer, the Manager, their respective directors, officers and agents shall not be held responsible for any theft, damage, loss or destruction of the Exhibits. Under no circumstances will the Organizer, the Manager, any government, statutory or regulatory body or agency or their respective directors, officers and agents make good or accept responsibility or be liable howsoever in respect of any damage, theft, loss or destruction of the exhibits or any property, goods or articles or things whatsoever placed, deposited, brought into or left upon the Exhibition premises by the Exhibitor.
14 Place of Fulfillment and Jurisdiction The place of fulfillment and jurisdiction is in Tokyo, Japan, according to Japan Law and regulation.
15 Other Regulations Exhibitors will later receive a copy of the Exhibitors’ Manual, which covers such details as booth fitting, electricity, water supply and drainage, air and the transport of exhibits to and from the exhibition venue.
